Apprenticeship software, UK

Every part of an apprenticeship, on one record.

Delivery, funding and ILR, e-portfolio and off-the-job, quality, gateway and end-point assessment. Five teams write to the same learner record with a named audit trail, and leadership asks the record its questions.

How the record works

Five teams, one record, one audit trail.

The reason Journey can answer a question is that every team writes to the same record. This is what that means, team by team.

Moving to Journey

Learners, employers, programmes, reviews, off-the-job logs and evidence are imported with dates and authors preserved. Most providers run one ILR return in parallel with their old system before switching. A 40-learner provider typically completes the move in one intake cycle; larger providers get a named onboarding lead with Journey Advanced. The buyer's guide sets out the migration plan step by step, and the apprenticeship management system explainer defines the components.

Questions

About apprenticeship software.

  • What is apprenticeship software?

Apprenticeship software is the system a UK training provider uses to run apprenticeships: learner and employer records (MIS), the e-portfolio where evidence and off-the-job hours are captured, funding and the ILR return, quality assurance, and gateway to end-point assessment. Journey runs all of it on one connected learner record.

  • What is the difference between apprenticeship MIS and an e-portfolio?

An MIS holds the management information: learners, cohorts, employers, contracts, funding and the ILR. An e-portfolio holds the learning evidence: work mapped to knowledge, skills and behaviours, assessor feedback and off-the-job hours. Most providers have had two systems. Journey keeps both on the same record so the ILR and the portfolio never disagree.

  • How much does apprenticeship software cost in the UK?

Suppliers publish little. Journey Core is free forever for verified UK providers with up to 50 counted apprentices subject to application review. Journey Advanced is priced per provider. The comparison pages record what each supplier publishes, with dates, and the total cost of ownership guide lists the costs to ask about beyond the licence.

  • Does Journey replace OneFile, Aptem, Bud, Smart Assessor, PICS or Maytas?

Journey covers MIS, e-portfolio, funding and ILR, quality and gateway on one record, which is the scope those products address between them. The comparison pages set out cited supplier statements next to Journey's, with a methodology page and a correction process.
