APPRENTICESHIP MIS

Apprenticeship MIS software: get the starting point right.

The learner record is the foundation of your provision. Journey brings learners, employers, programmes, cohorts, contracts and sites together so delivery, funding, quality and gateway work from the same operational context.

One record. A shared direction.

Apprenticeship MIS software organises the core information a provider needs to manage its learners and provision. Journey connects that information to delivery plans, evidence, funding preparation and gateway, so the MIS record supports the whole learner lifecycle.

An enrolment is the beginning of several workflows

The information captured at enrolment matters to more than admissions. Tutors need the agreed starting point and programme plan. Finance and MIS need the relevant programme and price information. Quality teams need to understand the provision they will sample. Gateway teams will later need to trace the learner’s path to readiness.

That makes ownership as important as completeness. Agree who is responsible for each part of the record, which items need review and how a correction reaches the people who rely on it. A connected system works best when the provider’s working practice is connected too.

Use an enrolment acceptance checklist

The checklist below is an operational starting point for your own process, not a substitute for the requirements that apply to an individual apprenticeship. Adapt it to the programme, start date and provider responsibilities.

CheckQuestion for the owner
Identity and organisationAre the learner and employer linked to the correct record, site and responsible team?
Programme and starting pointAre the standard, plan, prior learning and relevant English and maths information recorded?
Agreements and datesCan the team see the agreed documents, signatures and programme dates?
Operational handoverDoes the tutor know the next action, and can MIS review the information needed for return preparation?

Changes need context as well as a new value

A change of employer, a break in learning or a corrected programme date can affect more than one team. Before a change is treated as complete, review which linked work needs attention and who needs to acknowledge it. The goal is to understand the learner’s current position without losing the history that explains how it arose.

When migrating to Journey, include historical relationships and record ownership in your validation plan. Checking learner totals is useful; sampling a full record with its employer, programme, reviews, off-the-job history and evidence is more revealing. Advanced includes guided onboarding and current-system migration, with the scope agreed around your provision.

Let the programme connect the operational work.

A selected, versioned standard can become the draft programme your curriculum team reviews. The published programme then supports the learning-plan builder, and the learning plan supplies the structure for dated delivery. This gives MIS and delivery a shared foundation rather than separate descriptions of the same apprenticeship.

Move from source standard to programme, learning plan, delivery session and learner record in one connected workflow. Each stage gives your team a draft to review before it becomes part of the agreed delivery.

One delivery window. Consistent cohort dates.

Set the delivery window in the plan and use the same dates when creating the linked cohort. Journey rejects conflicting cohort dates, keeping curriculum planning and delivery administration aligned.

The programme’s assessment window stays available as planning context. Your team reviews changes against the programme version and the learners affected before confirming a revised plan.

Learners, cohorts, employers and contracts in a single management information system built for UK apprenticeships — no legacy screens, no brittle exports between tools.

An apprenticeship MIS (management information system) is the central system a training provider uses to manage learners, cohorts, employers and sites, tracking each apprentice from enrolment to achievement. It underpins funding claims and ILR reporting by keeping delivery data in one place rather than several separate systems.

What is apprenticeship MIS software?

Apprenticeship MIS (management information system) software is the central system of record a training provider uses to manage learners, cohorts, employers, contracts and sites, and to track each apprentice from enrolment to achievement. It underpins funding, ILR reporting and compliance by keeping delivery data in one place. Apprenticeship MIS is one part of Journey's wider apprenticeship management software.

What is Journey's apprenticeship MIS software?

Journey is a management information system (MIS) purpose-built for UK apprenticeship training providers. It holds learners, cohorts, employers, programmes and contracts on one connected product record, scoped to your organisation, so delivery, funding and quality workflows can be reviewed together. Journey is independent software and is not DWP, DfE or Ofsted approved. It does not guarantee funding or inspection outcomes.

Brings together what used to be separate tools

One record per learner

Enrolment, eligibility, programme, employer and funding live on a single learner record, scoped to your tenant on every read and write.

Cohorts & multi-centre delivery

Build cohorts against a programme, learning plan and delivery plan, and run delivery across multiple sites.

Employer & contract management

Employers and their contracts sit alongside the learners they sponsor — and your employers remain yours.

Programmes, KSBs & curriculum

Standards, duties and KSBs from the national catalogue underpin every learner's plan and evidence.

Per-role dashboards

Directors, centre managers, tutors and support staff each see a red/amber/green view tuned to their role.

Controlled audit history

Significant application actions are recorded against the person who acted, supporting a traceable history for provider review.

Why apprenticeship providers outgrow a general-purpose MIS

Most apprenticeship providers start with a general further-education MIS, a separate e-portfolio and a layer of spreadsheets to fill the gaps. It works until it does not: the same learner exists in three systems, off-the-job hours live in one place, funding figures in another, and the audit trail in a fourth. Reconciling them becomes a monthly job in itself, and every export is a chance for the numbers to drift apart.

An apprenticeship-specific MIS is designed around standards, KSBs, cohorts and apprenticeship funding rules. Journey holds learners, employers, programmes and contracts on one product record so related delivery, funding and quality workflows remain connected.

One connected record, scoped to your organisation

Journey derives tenant context server-side and checks tenant-owned reads and writes against active membership, permissions and record scope. Within a tenant, catalogue-defined role permissions gate sensitive learner data such as date of birth or National Insurance number. Current control evidence and remaining assurance limits are reviewed during procurement.

Significant application actions are recorded against the person who acted. Routine application paths do not edit audit entries; authorised retention or erasure operations are separately controlled and audited. This supports a traceable history for provider review.

From enrolment to achievement without leaving the platform

Cohorts are built against a programme, a learning plan and a delivery plan, and can run across multiple sites. Employers and their contracts sit alongside the learners they sponsor. Programmes draw their duties and KSBs from the national catalogue, so each learner's plan and evidence map back to the published standard. Per-role dashboards give directors, centre managers, tutors and support staff a red/amber/green view tuned to what they actually need to act on.

Because the lifecycle is connected, the monthly funding return can be reviewed alongside the related delivery records. New providers can evaluate Journey Core and optional managed services against their operating requirements, with commercial terms confirmed in writing.

Built so your team can trace evidence, decisions and actions

Tenant-scoped access controls

Tenant-scoped access controls are designed to keep each provider's records separate on reads and writes.

Controlled audit history

Significant application state changes are recorded against the person who made them, supporting a traceable history.

Published funding-rule packs

Journey applies supported, versioned DWP funding-rule packs selected from the apprentice's start date, including 2026/27 version 3, to support provider review.

Bounded AI assistance

Journey AI in Advanced adds a conversation over supported operational records. Ask about a programme or learner position, inspect the evidence and continue to the relevant record; changes remain named actions.

Evidence-led security controls

Tenant isolation, access controls, audit records and governed operations are designed into the platform.

Your data and employers stay yours

Export options are available under the applicable terms, and employer relationships remain with the provider.

Journey is independent software and is not DWP, DfE or Ofsted approved. It does not guarantee funding or inspection outcomes.

Questions providers ask

  • Will Journey replace our existing MIS?

That is the intent. Journey brings MIS, e-portfolio, OTJ tracking, ILR, EPA and compliance onto one platform, so your team stops stitching separate systems and spreadsheets together.

  • Is our data kept separate from other providers?

Journey derives tenant context server-side and checks tenant-owned reads and writes against active membership, permissions and record scope. Current control evidence and assurance limits are available for procurement review.

  • Is there a free version?

Yes. Journey Core is free for verified UK training providers with up to 50 counted apprentices, subject to application review. Apply for Journey Core access. Journey Advanced, which includes Journey AI, is quoted per provider.
