Off-the-job training calculator.

Enter the apprentice's weekly hours, planned duration and annual leave. The calculator applies the 20% rule with the 30-hour baseline and shows the working, so you can put the number in the training plan and defend it later.

Inputs

Defaults reflect a full-time apprentice on a 12-month standard. Change any value; the result updates as you type.

This calculator follows the published method for the 20% minimum. It is a planning aid, not a funding decision, and does not replace the funding rules for the apprentice's start year.

Questions

About the off-the-job requirement.

  • What is the off-the-job training requirement?

Off-the-job training must make up at least 20% of the apprentice's normal working hours over the planned duration of the apprenticeship, up to a baseline of 30 hours a week (so a 40-hour week is treated as 30 for the calculation). The exact rule wording and any caps are in the funding rules for the apprentice's start year; this calculator follows the published 2025/26 and 2026/27 method.

  • Do statutory holidays count?

No. The requirement is calculated on working hours across the practical period after statutory annual leave is deducted, which is why the calculator removes 5.6 weeks a year (28 days for a five-day week) by default. Contractual holiday above the statutory minimum is also deducted where the employer provides it.

  • What if the apprentice works more than 30 hours a week?

The 20% is applied to a maximum of 30 hours a week regardless of contracted hours. An apprentice on 37.5 hours has the same minimum as one on 30 hours. Part-time apprentices below 30 hours use their actual hours, and their duration is usually extended.

  • How does recognition of prior learning change the number?

RPL reduces the content to be delivered and therefore the planned duration and price. The minimum off-the-job hours are calculated on the reduced duration after RPL. Enter the planned duration after RPL and the calculator does the rest.

  • Does Journey track this automatically?

Yes. Journey logs off-the-job hours by learner and tutor against the requirement calculated from the recorded start date, planned end date and hours, flags shortfalls early, and includes the log in progress reviews the employer signs. Journey Core is free forever for verified UK providers with up to 50 counted apprentices subject to application review.
