The 60-learner ITP
Started on Core with 35 apprentices. Passed the 50-apprentice allowance in the September intake. Advanced switched on the same day; nothing migrated because the record is the same.
The 400-learner group
Four sites, three curriculum areas, a board that met monthly with a 40-page pack of exports. Director Insight replaced the pack with standing questions answered from the record, each with its evidence trail.
The college apprenticeship office
Needed department-scoped monitoring across seven curriculum areas and a way to answer a governor's question without asking each department. Operational monitoring across cohorts and employers did that.
What changes when Advanced switches on.
- Talk to Journey appears in the app for every role, scoped to what that role can already see. No training beyond "ask it a question".
- Director Insight standing questions are set up in the onboarding call: usually delivery, funding exposure, quality actions and gateway. Each is answered before every meeting with its evidence trail stored.
- Operational monitoring views open across cohorts, employers, tutors and sites: delivery against plan, funding exposure, quality actions, gateway readiness.
- The counted-apprentice cap is removed. Active and on-break apprentices are counted for reporting only.
- A named onboarding lead runs migration from your current system where needed and stays for the first ILR return.
What does not change
The record, the URLs, the roles, the audit trail and the integrations. Core and Advanced are the same system with different capability switched on, which is why there is no migration between them.
Security and governance
Advanced runs in the same tenant-isolated environment as Core. AI answers are generated from your records only, cannot change a record, and list their sources. Usage is metered per provider and reported. The Security, Responsible AI and data processing pages apply to both editions.

What is the difference between Journey Core and Journey Advanced?
Both run on the same connected learner record. Core is the record: delivery, funding and ILR, e-portfolio, quality and gateway, free forever for verified UK providers with up to 50 counted apprentices subject to application review. Advanced adds Talk to Journey and Director Insight with AI included, operational monitoring across cohorts and employers, no cap on counted apprentices, priority support and guided onboarding.
How is Journey Advanced priced?
Per provider, confirmed in a written proposal after a consultation about your provision, roles and priorities. We quote before you commit to anything.
Do I have to migrate from Core to Advanced?
No. Nothing moves, because both editions use the same record. Advanced switches on the additional capability for your provider workspace.
Is AI usage capped or charged separately?
AI is included with Journey Advanced within fair use. Usage is metered per provider and reported, and Journey warns before any fair-use threshold is reached.
