Useful Ofsted preparation starts with an accurate picture of provision. Journey helps teams connect learning activity, reviews, evidence, quality samples and improvement actions so leaders can explain both what is working and what needs attention.
Begin with one learner’s experience. Follow the starting point into the programme plan, the learning delivered, feedback received, support agreed and progress made. Then check whether quality monitoring and leadership actions reflect that experience.

Ofsted’s further education and skills toolkit, operating guides and provider information are the official starting point. The collection includes updated material for use from September 2026. Keep the version relevant to your setting and inspection date alongside your preparation plan.
Journey organises your own evidence and actions. The quality of provision, the evidence considered and the inspection judgement remain matters for the provider and Ofsted; software does not award a grade.
A practical demonstration for a quality lead.
Ask us to open one learner’s plan and evidence, follow an assessment into quality sampling and trace an action through to completion. Then check who can see the information and how the change appears in the record.
For sensitive support and safeguarding information, review the role controls separately. A useful leadership view should provide the information needed for oversight while detailed case information stays restricted to authorised staff.
A monthly pulse built on your live evidence.
For each area of the monthly quality pulse, Journey shows the checks from your live data, such as off-the-job hours, progress reviews, withdrawals, support, safeguarding timeliness and IQA, each linked to the records behind it. It suggests a grade with its reasons, worked out by fixed rules rather than AI.
The person completing the pulse accepts the suggestion, or changes it and records why. The pulse then feeds the self-assessment report and the Inspection centre, so leaders, quality staff and governors work from one evidence base. An IQA cannot sign off a sample of work they assessed themselves.
A yearly review from the Journey team, and live gap alerts in between.
Once a year, as part of membership, the Journey team reviews your live Journey data against the current Ofsted framework and the DWP apprenticeship funding rules. Reviews are carried out by the Journey review panel: industry experts with more than twenty years of experience in apprenticeships and further education, including former Ofsted inspectors. The panel member who signs off your review is named on it, and it is published to you only after sign-off, so you never see a draft. It is an internal gap analysis, not an inspection or a grade, and it is not endorsed by Ofsted or DWP.
Once it is published, Centre Managers, Directors, Tenant Admins and quality staff can turn its findings into self-assessment sections, quality improvement actions, a governance report and an IQA sampling plan. Between reviews, Journey shows live gap alerts, each linked to the record that causes it, without a grade or overall judgement.

Use official inspection guidance alongside your own review
Ofsted publishes the further education and skills inspection toolkit, operating guides and inspection information for providers and inspectors. Providers should use the official publications to understand the guidance applicable to their setting and inspection date.
Journey helps provider teams organise relevant internal evidence. It does not decide which evidence Ofsted will accept, what guidance applies to a particular provider, or what grade an inspector will give.
Quality evidence organised from delivery records
Journey lets authorised provider teams maintain self-assessment, safeguarding, wellbeing, inclusion and reasonable-adjustment records alongside delivery data. Access is role-scoped, and provider teams remain responsible for the completeness, accuracy and use of their records.
Relevant quality-evidence workflows may form part of a Journey Advanced evaluation. Scope, implementation responsibilities and commercial terms are confirmed in writing during evaluation.
