A college's apprenticeship provision is usually a minority of enrolments and a majority of the compliance risk. Journey gives it a system of its own without a second MIS.
The college problem
The college MIS holds enrolments and the ILR. The apprenticeship office holds off-the-job spreadsheets, review forms in a shared drive, and an e-portfolio from a separate supplier. Employers sign paper. Quality samples folders. When an inspector or a funding auditor asks for the evidence behind a learner, three people assemble it from four places. Journey puts the apprenticeship record in one system, with the college MIS as the source for enrolments and the destination for the return.
How it works beside the MIS
- Import, do not re-key. Learners, employers, programmes and start dates are imported from the college MIS; Journey keeps the MIS learner reference on the record.
- Deliver in Journey. Programme plans, off-the-job hours, tripartite reviews signed by the employer in the app, evidence mapped to KSBs, assessor feedback and the learner journal.
- Assure in Journey. Sampling, observations and actions sit on the same record the tutor uses, so quality reviews the record rather than a folder.
- Reconcile the return. Journey builds the apprenticeship aims of the ILR from the record and reconciles them with the MIS return, so the two cannot disagree at R14.
- Gateway from the record. Readiness reads from delivery, portfolio, English and maths and employer confirmation; the pack goes to the assessment organisation, in one click where it runs Meritura.
Departments, campuses and access
Role-based access is scoped by site, department and curriculum area. A construction team sees its cohorts; the apprenticeship office sees all of them; a governor sees the leadership questions and nothing personal. Every change carries a name, a time and the record version, so a central team can answer "who signed that review and when?" without asking the department.

Does Journey replace a college MIS?
No. Journey runs the apprenticeship provision alongside the college MIS. Learners, employers and programmes are imported from the MIS, apprenticeship delivery, off-the-job, reviews, evidence, quality and gateway run in Journey on one connected record, and the ILR fields for apprenticeship aims are exported or reconciled back for the college return.
Can different departments see only their own apprentices?
Yes. Role-based access is scoped per site, department or curriculum area, so a construction team sees its cohorts and the apprenticeship office sees everything. A named audit trail records who changed what across all of them.
Does Journey handle higher and degree apprenticeships?
