Ask across your operationAnswers across the work you manage. | Journey One question. Connected answers. Ask Journey AI about learners, delivery, funding, quality and governance without assembling context from separate screens. | OneAdvanced Selected on-screen context Intelligent Chat uses the on-screen learner, employer and programme fields selected for the prompt. |
Ask across your operationA provider leader asking about a cohort has a different need from a learner asking about an assignment. Test the same operational question in each platform. “Not found in reviewed pages” means the exact feature is not established by those sources. It does not mean the supplier cannot offer it. JourneyQuery supported learner, programme, delivery, funding, quality and governance information from the same permission-scoped conversation.
OneAdvancedIntelligent Chat is available to authorised users across the platform, including senior leaders, using the learner, employer and programme information on screen. A matching provider-wide retrieval workflow is not described on the reviewed AI page.

Ask where the facts came from, when they were recorded and what happens if you cannot open the source. “Not found in reviewed pages” means the exact feature is not established by those sources. It does not mean the supplier cannot offer it. JourneySee the evidence and as-of context, then open the relevant record. Check the source before taking an operational decision.

Check the role it serves and the records it can actually use, rather than counting an AI label. “Not found in reviewed pages” means the exact feature is not established by those sources. It does not mean the supplier cannot offer it. JourneyAsk in everyday language about the records your role can access. The answer brings the recorded facts, evidence and relevant next-step links.

Ask whether the assistant can draft the record, not just answer questions. “Not found in reviewed pages” means the exact feature is not established by those sources. It does not mean the supplier cannot offer it. JourneyJourney AI drafts and never saves on its own. The learner reviews the draft in the normal off-the-job form. Part of Journey Advanced.

OneAdvanced's current page describes Learner Management System (PICS) as supporting onboarding, learner progress and training workflows, with integrations to its assessment and ePortfolio products. Journey connects MIS, e-portfolio, funding/ILR, EPA and quality workflows, with scope confirmed during evaluation.
Is Journey an alternative to PICS?
PICS is OneAdvanced’s Learner Management System: MIS, ILR and progress management for apprenticeship providers, connecting to Smart Assessor and bksb within the wider Apprenticeship Management suite. Journey covers the same MIS ground — funding, ILR and employer/contract administration — on one connected learner record, alongside e-portfolio, quality and Journey AI in Advanced. Compare the MIS scope your provider actually buys, not just the product name.
Why providers consider Journey for MIS and funding
Funding and ILR on the learner record
ILR fields, funding eligibility and progress data sit on the same record as delivery and evidence, so an MIS or funding query does not mean leaving the learner’s file to check a separate system.
Versioned funding-rule packs
Versioned DWP rule packs, server-side calculations and linked evidence support provider review before an ILR submission. They do not guarantee funding outcomes or replace your own funding checks.
Employer and contract records
Employer details, contract status and levy or co-investment arrangements are tracked against the learner and programme, so admin staff can see funding and employer context together rather than cross-referencing a second system.
AI drafts with human review
Journey Advanced AI is governed — metered per tenant and bounded to authorised workflow content. It prepares drafts and summaries for human review without making funding decisions or changing ILR data unattended.
What should you evaluate?
These prompts are not a ranking. Test each product against your own ILR, funding and employer-admin requirements, evidence and written terms.
Evaluate Journey if…
- You want MIS, ILR, funding, employer/contract admin and e-portfolio on one product record.
- You want versioned DWP rule packs, server-side calculations and linked evidence to support provider review before submission.
- You want a parallel run against a real ILR extract before agreeing wider implementation scope.
- You want product scope, implementation responsibilities and commercial terms confirmed in writing.
Evaluate OneAdvanced Learner Management System (PICS) if…
- OneAdvanced’s vendor-described MIS and ILR scope aligns with your documented requirements.
- A specific PICS reporting, funding-claim or integration workflow is essential and has been confirmed directly with OneAdvanced.
- A current OneAdvanced Apprenticeship Management proposal better matches your procurement criteria than a standalone LMS.
Migrating PICS data to Journey
Migration scope depends on contractual export rights, the quality of your existing ILR and funding data, agreed field mappings and a validated cutover plan.
Export and validate ILR history
Confirm what PICS ILR, funding-claim and employer/contract data your contract lets you export, in what format, and validate an approved sample before any live migration.
Run Journey alongside your current system
Run Journey Core against a real ILR extract and a live employer/contract set, alongside PICS, once export access and commercial terms are confirmed.
Map funding and reporting workflows
Document funding-claim cycles, reports, employer/contract fields and submission controls, then demonstrate each required Journey MIS workflow against them.
Agree a controlled cutover
Move only after responsibilities, rollback, ILR retention and acceptance evidence for the migrated funding and employer data are agreed in writing.
Where Journey may not be the right fit for MIS
We’d rather be straight with you than oversell. Journey isn’t the answer for every provider:
- If a specific PICS report, funding integration or third-party finance link is business-critical, confirm the equivalent exists in Journey before assuming it does.
- Do not assume feature equivalence: demonstrate every ILR, funding and employer-admin workflow your provision relies on.
- Journey is built specifically for UK apprenticeships and may not fit broader learning or international MIS requirements.
How Journey is built and secured
Tenant isolation, audit history, published DWP funding-rule packs and bounded AI assistance are the same across every Journey comparison — read the full detail once on how Journey compares platforms rather than repeated here.
Comparison note & disclaimer

Questions providers ask
How is Journey different from PICS?
PICS is OneAdvanced’s standalone MIS for ILR and progress management. Journey connects MIS, funding, ILR, employer/contract admin and e-portfolio on one record, with source-linked Journey AI in Advanced. Compare the complete proposal against your funding and admin workflows.
Can Journey replace PICS for ILR and funding?
There is no universal answer. Export a real ILR extract, validate it in Journey, demonstrate your funding-claim and employer/contract workflows, and confirm responsibilities in writing before deciding.
Does Journey handle ILR submissions the same way as PICS?
Journey applies versioned DWP funding-rule packs to support provider review before submission; it does not itself guarantee funding outcomes. Compare your ILR submission workflow and reporting needs directly against both products.
Is this an independent comparison?
No. Journey publishes this page. The OneAdvanced description is limited to the linked primary source, and we do not claim an unmentioned capability is absent.
We do not yet have sourced, dated comparison claims for PICS in our verified evidence ledger (checked 21 September 2026; we re-check by 21 October 2026). We will publish a sourced comparison table here once we do.
Who should stay on PICS
- Providers with an established PICS deployment and workflows their team already knows well.
- Providers whose priority need is a PICS capability we have not yet independently verified against Journey.
- Teams mid-contract with PICS who want no disruption ahead of a funding return or inspection.
- Providers who want to wait for a fuller, sourced Journey-vs-PICS comparison before considering a change.
