Worked examples

Which edition fits which provider.

Synthetic providers, real rules. Active and on-break apprentices count towards the Core allowance; staff and employer accounts do not.

Core

Founder-led ITP, 38 apprentices

Two standards, one site, four staff. Inside the allowance of 50 counted apprentices. Journey Core at £0, free forever while the provider stays verified and within the allowance. Warned before 50 is reached.

Core, then Advanced

Growing ITP, 47 then 72 apprentices

Starts on Core. The September intake takes counted apprentices to 72. Advanced switches on with no cap, Talk to Journey and priority support, priced per provider and quoted in writing before the change. Nothing migrates.

Beyond the licence

How to compare Journey's price with anyone else's.

Most apprenticeship software is priced per learner per month with implementation, migration, training and support on top. Compare on total cost of ownership, not the headline.

Questions

About pricing and the Core allowance.

  • What does "counted apprentice" mean?

Active and on-break apprentices count towards the Journey Core allowance of 50. Completed and withdrawn learners, staff accounts and employer accounts do not count. Journey warns before the allowance is reached.

  • What happens if a Core provider goes over 50 counted apprentices?

Journey warns before the allowance is reached. If it is exceeded, access and transition options follow the applicable written terms, and the usual route is a written Journey Advanced proposal. Nothing migrates, because both editions use the same record.

  • Who is verified for Journey Core?

UK apprenticeship training providers. Applications are reviewed; a UKPRN helps. Provider access, the contracting entity and any service-specific terms are confirmed in writing before a workspace is activated.

  • How is Journey Advanced priced?

Per provider, after a consultation about your provision, roles and priorities, confirmed in a written proposal. AI is included within fair use. We quote before you commit to anything.

  • Are there setup or migration fees?

Core has no licence fee. Migration from a current system and guided onboarding are part of Journey Advanced; managed services beyond that are scoped and priced separately in writing.
