Run the whole provider from one learner record.
An independent training provider is five teams and one funding risk. Journey keeps delivery, funding and ILR, e-portfolio, quality and gateway on one connected record, so the return, the portfolio and the inspection evidence are the same thing.
Journey was built by someone who ran an independent training provider and paid roughly £36,000 a year for a platform, then found the team on Excel during an inspection. Every part of the product is an answer to that.
One record, five teams
Admissions enrols once, with eligibility checked against the funding rules for the start date. Tutors log off-the-job hours and run reviews the employer signs in the app. Assessors map evidence to KSBs. Finance sees the agreed price, the route and the ILR return built from the same record. Quality samples that record. Gateway readiness reads from all of it. Nobody re-keys anything, and every change carries a name and a time.
Funding and the return, without the export
ILR returns R01 to R14 are built from the record with required-field and data-quality checks. Funding rule checks run against the versioned rules pack selected from the recorded start date. Apprenticeship service cohorts and prices are reconciled against the record. A funding lead can ask Talk to Journey which records would fail the next return if submitted today, and act on the list before the deadline. Journey helps providers organise and review records; it is not a funding guarantee.
Grow without changing system
Start on Journey Core, free forever for verified UK providers with up to 50 counted apprentices subject to application review. When the provider grows past the allowance, Journey Advanced switches on with no cap on counted apprentices, Talk to Journey with AI included, operational monitoring across cohorts and employers, and priority support. Nothing migrates, because both editions use the same record. Compare editions.
Lead providers and subcontractors
Learners can be tagged to a lead and a delivery partner, access scoped to each, and reporting produced by contract and by partner from the same record. Where a subcontractor delivers on Journey, the lead provider sees the evidence trail in place rather than a quarterly spreadsheet.
Inspection and audit, from the record
Quality sampling, observations, actions with owners and dates, safeguarding records and self-assessment evidence sit on the same record as delivery. When an inspector or an auditor asks for a learner's evidence, it is the record, opened. Journey is independent software and is not Ofsted approved; it helps providers organise their own evidence for internal review.
Gateway and end-point assessment
Readiness reads from delivery, portfolio, English and maths and employer confirmation. A named person approves the pack, and where the assessment organisation runs Meritura by Journey, one click sends it and the released result comes back to the record. Any EPAO is supported for bookings and outcomes.
Questions providers ask
Is Journey suitable for a small independent training provider?
Yes. Journey Core is free forever for verified UK providers with up to 50 counted apprentices subject to application review, and covers delivery, funding and ILR, e-portfolio, quality and gateway on one record. Many ITPs start on Core and move to Advanced as they grow.
Does Journey handle subcontracted provision?
Yes. Learners can be tagged to a lead provider or a subcontractor, access can be scoped to each party, and the funding record holds the agreed arrangements. Reporting by contract and by partner comes from the same record.
Can we run multiple standards and levels?
Yes. Each learner is on a standard with its own KSBs, assessment plan and funding band. Programme plans, evidence mapping and gateway readiness are per standard; cohort and employer views cut across them.
How quickly can an ITP move from spreadsheets?
A 40-learner provider typically moves delivery, funding and evidence in one intake cycle: import learners and employers, load the current off-the-job logs and reviews, run one ILR return in parallel, then switch.
