Definition
Apprenticeship RPL software helps a provider record recognition of prior learning, the evidence considered and the resulting programme adjustment. It supports a provider's documented assessment and review process; it does not make an automatic funding or eligibility decision.
Journey records recognition of prior learning (RPL) with the evidence and provider review outcome, then reflects approved reductions to planned hours and/or price in the relevant controls. The provider remains responsible for the assessment and for applying the published funding rules. Journey is independent software and is not DfE or Ofsted approved. It does not guarantee funding or inspection outcomes.
Keep the prior learning considered, the provider's review outcome and the resulting adjustment on the learner's record.
Journey reflects approved planned-hours and/or price reductions in the relevant controls; the software does not decide RPL eligibility for the provider.
Approved RPL is considered in the effective OTJ target, subject to the applicable standard and funding-year minimum.
The recorded assessment, adjustment and significant actions remain available to support provider review and evidence preparation.

Recognition of prior learning starts with the provider's initial assessment of relevant prior learning or experience. The record needs to show what was considered, the decision made and how the programme was tailored. Journey keeps that information alongside the learner record rather than in an unconnected note or spreadsheet.
Journey supports the record and its approved consequences. It does not decide whether a learner is eligible, whether RPL should be recognised or whether a funding claim will be accepted. Those remain provider responsibilities under the applicable published rules.
Where a provider approves an RPL adjustment, Journey reflects the recorded planned-hours and/or price reduction in the relevant controls. The off-the-job target stays connected to the learner's standard, approved RPL and the applicable minimum, so the later evidence trail can be reviewed in context.

Evidence-linked and accountable by design
Tenant-scoped access controls are designed to keep each provider's records separate on reads and writes.
Significant application state changes are recorded against the person who made them, supporting a traceable history.
Funding-sensitive figures use centrally managed packs selected by start date: 2024/25, 2025/26 and published 2026/27 version 3 coverage.
After provider, DPIA and release approval, Advanced AI is metered per tenant and prepares authorised drafts and K/S suggestions for human review. It does not make regulated decisions or change the source record.
Tenant isolation, access controls, audit records and governed operations are designed into the platform.
Export options are available under the applicable terms, and employer relationships remain with the provider.
