What a meaningful comparison should establish.
An apprenticeship platform has to support several people at once. A learner needs the right session and material. A tutor needs the plan, evidence and next review. Funding staff need reliable fields and an explainable return. Quality teams need the history behind a judgement. Leadership needs to know where attention is required. A useful evaluation follows those tasks through the same learner record.
Ask the supplier to use the role that would actually do the work. A demonstration delivered by an administrator with every permission can hide the friction a learner, employer or tutor will experience. Repeat the critical actions with the ordinary role and check that unrelated records remain inaccessible.
The comparison above identifies documented capability and important boundaries. It does not award points for every use of the word AI or count an undocumented competitor feature as missing. Features, commercial tiers and release availability change; obtain a written scope for the exact service being purchased.
Put the AI proposition through a practical test.
Journey’s proposition is conversational work with inspectable evidence. Choose a question your team already asks: which learners have a recorded gateway gap, which programme is ready to plan, or which funding records need attention. Check the answer, the underlying source and the place the user can go next.
Other suppliers also describe conversational AI. Aptem AVA is documented for learners using their plan, reviews and actions. Bud describes learner support and staff assistance using context. OneAdvanced describes record-context chat for authorised staff and planning agents. Those capabilities should be compared on their own scope, rather than dismissed because they use different technology.
Ask each supplier what happens when the information is missing, outdated or outside the user’s permission. An unsupported answer should not quietly become a fact. A record link should resolve for the person using it, and an answer about a review should not itself become the approval of that review.
The website conversation is a scripted demonstration with illustrative records. A live acceptance session with the agreed roles, questions and data is the evidence that confirms how the product behaves for your organisation.
Follow the whole path from standard to delivery.
Journey can import a selected Skills England standard into a draft programme, carrying the published curriculum information for review. The exact standard, version and available source details matter. Curriculum readiness and assessment-plan readiness are separate checks; a missing assessment detail should be visible rather than invented.
From a published programme, the learning-plan builder creates a structured draft covering months, modules, sessions and KSBs. Staff review its sequencing and adapt the teaching. Individual starting points, prior learning and support requirements remain part of the provider’s planning responsibility.
The delivery builder then takes the learning plan and schedule inputs and generates dated sessions. Check the start date, frequency, cohort, practical duration and the edits the team can make. Generating a timetable does not automatically reserve people, rooms or third-party calendars.
Finally, open a session using the learner role. Joining details, attached resources and inherited module materials should be easy to locate. Those materials still need to be attached or linked by the team. This final step is essential when evaluating whether a connected plan makes the learner experience easier.
Ask exactly what will move from your current system.
Journey has a controlled Aptem migration route for the supported profile scope: read-only connection, a sample, programme mapping, preview, duplicate checks and approved staged import. Imported prospective learners are not automatically activated as live provision.
Aptem profile import, ILR import and mapped learner-progress CSVs cover different parts of the move. Progress CSVs carry achieved KSBs, off-the-job hours, review counts and progress baselines. Historic evidence files and full review narratives use a separate transfer. Bring Bud or OneFile exports to the team to agree the available migration route.
A sensible acceptance plan starts with five authorised learners representing different circumstances. Reconcile source totals, paging, mapped programmes and the fields needed for subsequent ILR-source work. Record discrepancies, resolve them and agree the wider migration before applying a larger import.
Ask every supplier about rollback limits, duplicate prevention, history preservation, responsibility for corrections and the point at which the new record becomes authoritative. The strongest migration offer is the one whose scope can be demonstrated and reconciled.
Treat the assessment boundary as a real workflow.
Journey prepares a minimised readiness pack from the learner record. A named person reviews and approves it. Once the provider and the receiving organisation are connected, the native Journey–Meritura exchange supports sending, receipt, corrections and returned assessment events.
Meritura is an assessment operations platform. The receiving assessment organisation retains responsibility for acceptance, assessment, quality assurance and release of the result. A software connection does not grant Journey authority to decide an assessment outcome.
Other platforms also offer assessment integrations. Aptem documents Proficient registration, learner updates and returned assessment records. OneFile lists EPAPro and Summit connections. Compare the payload, timing, correction path, receipt and released-result semantics rather than assuming any one platform is the only one that connects.
The native Journey–Meritura connection keeps the approved pack, receipt, corrections and released result linked to the same learner case. The receiving assessment organisation uses Meritura, and both organisations are connected during onboarding.
Price the complete operating model.
Journey Core has a £0 licence fee for verified UK providers with up to 50 counted apprentices, subject to review and written terms. Active and on-break apprentices count. Completed and withdrawn learners, staff and employer accounts do not. Your internal preparation, adoption and operating work still needs to be planned.
Journey Advanced is quoted per provider and includes Journey AI within the agreed fair-use scope, guided onboarding and agreed migration support. Confirm any additional managed services, storage, integrations and specialist work in writing. Moving edition uses the same learner record.
Ask every supplier for a three-year view using the same learner-count assumptions, including implementation, migration, AI, support, integrations, annual changes and exit. Separate licence costs from one-off professional services and the time your own team will spend.
